Office Assistant (VA321)

We are seeking an Office Assistant to support the Office Manager in providing a timely and efficient service encompassing messenger services, reception and building management.  

Principal duties will include:

​Messenger duties

  • Arranging hand deliveries of documents/letters including post/register outgoing mails
  • Collecting mail from mail box
  • Receiving and arranging courier documents

Reception duties

  • Handing incoming calls / gatekeeping in a professional manner
  • Greeting clients and visitors (including making/serving drinks)
  • Booking meeting rooms and arranging meetings

Stationery / store duties

  • Responding promptly to requests for stationery and other items held in store
  • Maintaining stock levels in pantry
  • Monitoring and replenishing levels of frequently requested stationery items
  • Waste management – ensuring recycling and waste is appropriately sorted and stored ready for collection

General duties

  • Assisting the Office Manager with minor premises maintenance works
  • Liaising with contractors and vendors including carpet shampooing, plants & pesticide services
  • Assisting with setting refreshments in meeting rooms / boardrooms and clearing down afterwards
  • Ensuring all common areas are neat and organised at all times
  • Basic administration
  • Assisting Office Manager with expenses claims


The ideal candidate will have at least 2 years' experience in a similar role and the ability to speak Mandarin. 

Applicants will be IT literate with knowledge of Microsoft Outlook, Word and Excel, along with good verbal communication skills.
