We have an opportunity for an experienced Legal Secretary to provide a professional, client-focussed personal assistant service acting executively on behalf of Senior Lawyers/Partners on a range of business matters in our M&A team.
Key duties include:
- Acting as first point of contact, dealing with correspondence and phone calls
- Extensive diary and inbox management
- Booking and arranging travel, transport and accommodation
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Typing, transcribing and other Word Processing tasks
- Preparing documentation for meetings & presentations
- Records management and document control
- Scheduling meetings
- Organise business trips, client meetings and small events on behalf of Partner(s) and fee earners (team or partner business trips, small clients lunches or dinners, client hospitality, sporting or social events, in-house seminars)
- Producing biographies for target contacts
- Compile collateral packs
- Maintaining client and personal contact lists, including marketing & business development (M&BD) activities and holding accurate profiling of contacts
- Updating and maintaining social media profiles and contact lists for Partner and/or Senior Lawyers
- Adding partner and fee earner contacts and ensuring data is up to date to include accurate profiling of contacts
- Adding partner and fee earner marketing & business development (M&BD) activities to contacts list
The ideal candidate should have:
- Previous legal secretarial or personal assistant experience
- Previous experience of working in a legal environment or familiarity with legal documentation and terminology
- Proficiency with MS Office applications
- Good typing speeds and accuracy are essential
- Secretarial / administration qualifications advantageous
- Excellent interpersonal and communications skills
- Good written and verbal communication skills
- Excellent planning and organisation skills
- Ability to prioritise effectively and efficiently under pressure
